What happens at the first annual meeting of governing body?

Here is an example of how an agenda for the first annual meeting of the governing body might be organised.

  1. Introductions – welcome new governors (if applicable)
  2. Apologies for absence – received and accepted (noted in minutes)
  3. Declaration of interest in items on the agenda
  4. Election of Chair and Vice Chair – secret ballot if more than on candidate
  5. Approval of minutes from previous meeting
  6. Matters arising from the minutes
  7. Review governing body membership and contact details – inform Governor Services of any changes to ensure that the database is maintained accurately. Be aware of any terms of office coming to an end.
  8. Review committee structure, membership, terms of reference and appointment of chair of committees – circulate a copy of the current committee structure, membership and terms of reference to aid discussion
  9. Appoint Link Governors with special responsibilities – e.g. Child Protection, SEN, links to subjects / areas etc – circulate a copy of the current list of Link Governors prior to the meeting to aid discussion
  10. Calendar of meeting dates – recommend that committee dates and governing body meeting dates are set for the academic year
  11. Circulate blank copies of the Register of Business Interests form – it is essential that governors bring completed forms to the first meeting or send them to you. Nil returns are required for audit purposes. Original forms are to be kept at the school.
